Building a Scalable CRM Ecosystem

PROJECT SUMMARY
As VidaLearn expanded, our existing processes became increasingly manual and difficult to scale. Customer information was stored across multiple spreadsheets, lead management relied on manual follow-ups and many repetitive administrative tasks consumed valuable time that could have been spent supporting students and growing the business.
To address this, I led the redesign of our sales and operational infrastructure by implementing a CRM ecosystem integrated with Google Ads, automating lead management, standardising workflows and developing custom solutions using Adds On. The result was a more efficient, scalable business that significantly reduced administrative workload while improving both the customer and employee experience.
THE CHALLENGE
As the business grew, our operational processes struggled to keep pace.
Leads were generated through multiple channels but required manual allocation and follow-up. Customer information was duplicated across different systems, quotations were prepared manually and admissions required repetitive administrative work. These inefficiencies increased the risk of errors, slowed response times and limited our ability to scale without hiring additional staff.
The challenge was to create an integrated operational system that connected every stage of the customer journey while reducing manual work and improving visibility across the business.
MY ROLE
I led the design and implementation of our CRM and operational workflows, working across sales, customer service and admissions.
My responsibilities included mapping existing processes, identifying operational bottlenecks, configuring CRM automations, integrating Google Ads lead generation, creating automated workflows using Adds On and redesigning the way customer information flowed throughout the organisation.
I also worked closely with the team to ensure the new processes were practical, easy to adopt and supported day-to-day operations.
MY APPROACH
Rather than simply digitising existing processes, I challenged every step of the customer journey.
I mapped the complete lifecycle from lead generation to student enrolment, identifying repetitive tasks, unnecessary approvals and duplicated work. Wherever possible, I replaced manual activities with automation while ensuring that critical customer interactions remained personal.
The CRM became the central source of truth for customer information, allowing teams to access accurate data, automate repetitive actions and collaborate more effectively. Custom Adds On automations eliminated several manual administrative tasks, while chatbot technology handled initial customer enquiries, allowing the team to focus on higher-value conversations.
Every improvement was designed with scalability in mind, ensuring that future growth would not require proportional increases in administrative effort.
THE OUTCOME
- Implemented an integrated CRM to centralise customer and operational data.
- Connected Google Ads lead generation directly to the CRM, eliminating manual lead entry.
- Automated lead assignment, customer tracking and quotation workflows.
- Developed custom Adds On automations, saving approximately five working days per month in administrative tasks.
- Introduced chatbot automation to manage initial customer enquiries, eliminating the need for a dedicated SDR role.
- Reduced the admissions team's workload by approximately 50%, allowing one team member to manage a workload that previously required two people.

IF I WERE DOING THIS TODAY...
Looking back, I would leverage AI much earlier to make the platform even more intelligent and proactive.
Instead of relying primarily on workflow automation, I would incorporate AI to qualify leads, summarise customer conversations, recommend next actions, generate personalised communications and identify operational bottlenecks in real time. This would allow the team to focus even more on building relationships while reducing repetitive administrative work.
I would also build executive dashboards that combined sales, operations and customer success metrics into a single view, giving leadership greater visibility into business performance and enabling faster, more informed decision-making.
Most importantly, this project reinforced my belief that operational excellence is not achieved by adding more tools. It comes from designing simple, connected systems that allow people to work more efficiently, make better decisions and deliver consistently excellent customer experiences.
